Are you ready to shape the future of capital markets? We are looking for a Facilities Manager to join the Facilities Management team. The position will be based in Athens, and start as soon as possible. You will report to the Head of Facilities.

 

You will primarily be responsible for:

  • To provide cost effective and efficient Facilities operation services within Euronext properties

  • Manage/negotiate and benchmark annual contracts pertaining to area of job holder

  • Manage Facilities annual budget to business requirements ensuring that the department maintain optimum balance, cost and flexibility within the department and third party contractors

  • Assist departments with existing projects and manage project budgets

  • Negotiate lease terms and obtain rates assessment requirements

  • Support Finance team where and if needed

  • Management of total FM operation and budget within the office. Management of FM Staff and contractors, service contract bench marking, KPI monitoring, Health and Safety and building environment accreditations, support events taking place in the building, in close collaboration with relevant stakeholders

  • Management of daily Facilities operation [internal functions, cleaning, catering, hospitality, visitor’s reception and switchboard (incoming calls), Premises] ensuring that all in-house services provided are efficiently performed and implement changes when required to improve the service

  • Manage annual contracts falling under the responsibility of the job holder, ensure that contracts are continually reviewed and adjusted where appropriate to achieve maximum flexibility and cost savings

  • Manage Facilities operational department budget ensuring that costs do not exceed the annual budget

  • Project manage any related Facilities projects ensuring they are completed within the allocated time frame and budget

  • Manage Facilities procurement process and provide tender documentation and selection process

  • Space planning and manager in-house staff and premises relocations, ensure that relocations are completed within the allocated times frames

  • Liaise with departmental managers, heads of departments and directors relating to any Facilities requirements or special projects.

  • Develop and implement sustainability programs to reduce the facility’s environmental impact

  • Plays a key role in crisis management where nature of crisis involves decisions around facilities management

 

Your profile:

  • Excellent decision making skills with a proven ability to work under pressurised situations

  • Proficiency in facilities operations, budget management, vendor management, and contract negotiation

  • Proactive and logical approach to problem solving

  • Ability to work with all the organization as well as with tenants

  • Good communication skills in both local language and English (verbally and in writing)

  • Able to adapt within job responsibilities

  • Able to reach to support the business when required

  • Computer skills, word, excel

  • Fluency in English – both oral and in writing

  • Trusted individual on company money laundering and gift policy

  • Contract procurement and bench marking

  • Understanding of health, safety, and environmental regulations is a bonus

  • Minimum 5 years of experience in Facility management

  • Bachelor’s degree in facilities management, building services, engineering, business administration, property management, or a related field

 

The Facilities Management team manages the use of office space and the space planning for each Euronext location, ensuring a healthy and safe work environment for employees. The team liaises with General Services to provide feedback and ensure the highest quality operational support, controls and monitors the costs of office space and expenditures within pre-budgeted targets, and ensures efficient methods of operation. The team also coordinates with IT and engineering departments for technical support and ensures the smooth running of all facilities-related activities.
